Prerequisite: Access to the Project Portal smartsheet
Adding Categories
- If applicable update the ‘Category’ of the overall parent task:
If you have a task which is the parent task to all other tasks, select ‘Overall’ from the ‘Category’ column.
- If ‘Overall’ is selected within ‘Category’ for the activity the dashboard will include Smartsheet’s ‘% Complete’ value.
- If ‘Overall’ is NOT selected within ‘Category’ for the top level/first activity in the project schedule then NettTalent will calculate completion rate.
- a) Add a ‘Category’ and ‘Phase’ to a parent task:
If subtasks of a parent task have the same applicable ‘Category’ and ‘Phase’ values then the subtasks’ ‘Category’ and ‘Phase’ values must be left blank.

In this case add the applicable ‘Category’ and ‘Phase’ to the parent task.
Note: If you do not want a task to contribute towards the calculation of the completion rate ‘Category and ‘Phase’ cells must be left blank. -
There are 4 levels of tasks – 1 parent task and 3 levels of subtasks. All subtasks relate to ‘Category’ – Platform and ‘Phase’ – Verify. Therefore, ‘Category’ – Platform and ‘Phase’ – Verify, are applied to the parent task and the subtasks are ignored.
- NettTalent includes the parent task’s ‘Duration’ and ‘% Complete’ when calculating the completion rate.
- b ) Add a ‘Category’ and ‘Phase’ to a subtask:
If subtasks of a parent task have varied ‘Category’ and ‘Phase’ values then the subtasks’ ‘Category’ and ‘Phase’ values must be populated and the parent task ‘Category and ‘Phase’ values left blank.
Note: If you do not want a task to contribute towards the calculation of the completion rate ‘Category and ‘Phase’ cells must be left blank.
- The subtasks relate to different ‘Category’ values, Performance Management and Goal Management; the parent tasks’ ‘Category’ and ‘Phase’ values must be left blank all levels up.
This means when NettTalent calculates the completion rate the parent tasks will be ignored and the subtasks will contribute towards the calculation of percentage complete.
How to Create a Go-Live Milestone
- Add Misc. to ‘Category’ and Go-Live to ‘Phase’ columns for go-live tasks:
By allocating a task with ‘Category’ – Misc. and ‘Phase’ – Go-Live, the task will display within the ‘Go-Live Milestones’ section of the portal.
- Update ‘Task Name’:
The detail included in the task name cell will display as the ‘Go-Live Milestone’ label.
If there are multiple tasks with ‘Category’ – Misc. and ‘Phase’ – Go-Live, they will be listed chronologically within the ‘Go-Live Milestones’ section of the portal. The countdown will display as follows:
- 0 days since, 1 day since, 2 days since....
- 1 day until, 2 days until....
